Direct answer: China supplier pickup readiness for FBA cargo means the finished goods, measured outer cartons, approved labels, shipment references, export and import evidence, pickup window and exception owner are all confirmed before a truck is released. Do not treat a supplier promise or an early packing list as proof. Hold or conditionally release cargo when quantities, packaging, documents, product restrictions or destination instructions remain unverified.

This guide is for sellers, importers and operations teams coordinating a China-origin pickup to Amazon FBA or a North American 3PL. It controls the origin handoff; it does not promise customs clearance, transport time or Amazon receiving. Reviewed: 28 September 2026.

Key facts for the pickup gate

  • Readiness is a release decision, not merely a supplier calendar date.
  • Finished outer-carton measurements and gross weights are more useful than purchase-order estimates.
  • Amazon shipment instructions, customs evidence and the receiver’s routing guide are separate controls.
  • A pickup record proves handoff; it does not prove entry release, appointment acceptance or sellable inventory.
  • Every unresolved difference needs an owner, due time and a documented hold or conditional-release rule.

1. Freeze the shipment identity first

Start with one controlled shipment brief: selling entity, supplier, pickup address, destination path, SKU allocation, carton count, carrier contact and required sellable date. The Amazon FBA receiving path can connect shipment, import and delivery controls, while a 3PL destination may add an ASN, routing guide or appointment reference.

Record the Amazon shipment or delivery reference only when it has actually been issued. Keep it separate from the purchase order, booking, bill of lading and customs entry references. If the destination is provisional, mark it provisional. Never copy a previous warehouse code or delivery instruction into a new pickup file without confirmation.

Set a version number and freeze time for the release brief. The person approving pickup should be able to answer which file the supplier, carrier and receiver are using. A later change must create a new version and a short reason, not an invisible edit to a shared spreadsheet.

2. Confirm finished-goods status at the factory

Ask the supplier to confirm that production, inspection, packing and labeling are complete for the exact SKUs in the shipment. “Ready soon” is not a release state. Capture the finished quantity, units per carton, carton configuration, gross and net weight, outer dimensions, pallet count if applicable, and whether any cartons are awaiting rework.

Request evidence appropriate to the product: final packing list, production or inspection record, clear carton photographs, and a timestamped statement from the loading contact. The evidence does not need to expose proprietary information, but it should let the release owner compare what is physically staged with what the shipment file says. If the supplier cannot provide a reliable count, place the cargo on hold or request a supervised count.

The carton-to-shipment reconciliation guide provides the comparison method. Do not average different carton configurations. A single oversized or overweight carton can change the handling plan, pallet build or chargeable exposure.

3. Reconcile labels and handling units

Compare the approved Amazon shipment labels, carton markings and any 3PL handling-unit labels with the physical cartons. Amazon Seller Central’s current shipment and packaging guidance controls account-specific requirements; a forwarder or supplier should not invent a replacement label because a file is inconvenient. Verify that the label points to the correct shipment, SKU or handling unit and that it is readable and placed as instructed.

If pallets or logistic units use a serialized identifier, apply the receiver’s approved scheme. GS1 US describes the SSCC as an identifier for a logistic unit, but that does not make an SSCC mandatory for every FBA or 3PL account. Record the actual identifier relationship: pallet to carton, carton to SKU and SKU to destination. A rebuilt pallet must not silently retain an obsolete relationship.

Scan a sample from each carton configuration and keep the scan result or inspection record. A photograph of a label is useful evidence, but it is not a substitute for checking the physical surface, contrast, placement and association with the intended shipment.

4. Build the product and document file

Prepare the commercial invoice, final packing list, purchase-order reference and product description in plain language. Add country of origin, unit value, quantity, material, function and model or SKU. Flag batteries, food, cosmetics, children’s products, radio or electrical characteristics and other possible agency or carrier controls for specialist review.

U.S. Customs and Border Protection explains that importers remain responsible for entry information. The Electronic Code of Federal Regulations sets invoice information requirements in 19 CFR 141.86, but the shipment-specific importer, broker and product facts still control. Keep classification, valuation, origin and admissibility as open decisions until the responsible specialist confirms them; a pickup checklist cannot certify a tariff line or product compliance.

For a Canadian destination, add the importer and broker or CARM dependency to the same file rather than assuming a US process transfers unchanged. The shipment may leave the factory while a document remains pending only if the release authority records the risk, owner and stop condition.

5. Confirm the pickup and loading window

Write the pickup date, local time zone, loading contact, truck or carrier reference, vehicle constraints, loading sequence and fallback contact. Confirm whether the cargo is factory-loaded, delivered to a consolidation point, palletized, inspected or relabeled before export. The supplier-consolidation intake can coordinate multiple suppliers, but it cannot make unfinished cartons ready.

Give the driver only the documents and data required for the handoff. Keep sensitive pricing, personal numbers and customs identifiers out of exposed carton labels unless the approved specification requires them. Retain the signed pickup record, seal or pallet count, photos where appropriate and the time the carrier took control.

Pickup timing must be tested against the required receiving outcome. Separate supplier cargo-ready, carrier pickup, export handoff, customs release, final delivery, check-in and usable-inventory milestones. A truck arriving at the factory on time does not create a guaranteed FBA receiving date.

6. Decide whether to hold, conditionally release or release

Use a simple three-state decision so the supplier and carrier receive one answer. A full release requires the physical count, labels, documents, destination and pickup details to match. A conditional release names exactly what can proceed and what remains blocked. A hold stops the affected cargo or line until the missing evidence is resolved.

State Use when Minimum record
Release Finished facts, labels, documents and destination agree. Approver, version, timestamp and pickup reference.
Conditional release A limited exception is accepted without hiding its impact. Exception, owner, deadline, affected cartons and stop event.
Hold Quantity, label, product, destination or document risk could misdirect cargo. Reason, physical quarantine, next decision and escalation contact.

Do not use conditional release to bypass an unresolved product restriction, missing importer decision, unknown destination or materially different carton count. The inbound readiness checker can expose missing inputs, but it cannot approve a customs entry or Amazon account requirement.

7. Pre-pickup checklist

  1. Shipment version, destination and required sellable date are recorded.
  2. Supplier, pickup address, loading contact and carrier reference are confirmed.
  3. Finished SKU, unit, carton and pallet quantities reconcile to the approved plan.
  4. Outer dimensions, net and gross weights use stated units and actual packaging.
  5. Amazon labels and any 3PL labels match the correct shipment and physical cartons.
  6. Product, battery and agency flags are attached or assigned to a specialist.
  7. Invoice, packing list, origin and other entry evidence are current or formally conditional.
  8. Loading window, vehicle constraints and fallback contacts are documented.
  9. Release, conditional-release or hold state is approved by a named person.
  10. Signed pickup evidence and the final exception log will be retained.

What this gate cannot decide

This workflow cannot determine a universal transit time, customs classification, duty amount, product certification, battery acceptance, Amazon appointment, receiving speed or sales forecast. Amazon Seller Central, the legal importer, customs broker, carrier, product specialist and receiving site control different conclusions. Recheck the current account, product and receiver instructions when the SKU, packaging, importer, destination or shipment reference changes.

Use the North America inbound plan form when the evidence pack is ready and ask the reviewer to state assumptions, exclusions, milestones and exception owners. A conditional plan with visible unknowns is safer than a clean-looking pickup based on historical cartons or an unconfirmed destination.

Frequently asked questions

What does supplier pickup readiness mean for FBA cargo?

It means the goods are finished and counted, cartons are measured and labeled to the approved shipment, required product and customs evidence is available, the pickup window and loading contact are confirmed, and every known exception has an owner and stop condition before release.

Can a supplier release cargo using an estimated packing list?

An estimate can support an early budget review, but final pickup should use the actual finished carton count, dimensions, gross weight, SKU allocation and packaging status. Estimated data can change chargeable weight, labels, customs quantities and receiving capacity.

Who is responsible for checking FBA labels before pickup?

The seller or appointed operations team should compare the approved shipment and label file with the physical cartons, while the supplier applies and scans the labels. Amazon’s current account instructions and shipment-specific file control required fields and placement.

Does pickup readiness prove customs clearance?

No. Pickup readiness proves an origin handoff decision. The legal importer, broker and product specialists still need to confirm classification, value, origin, admissibility and entry evidence for the actual goods, and customs release occurs later.

What if one SKU or carton is not ready on pickup day?

Record the short or late line, quarantine its labels and documents, and obtain an approved partial-shipment decision. Do not silently substitute cartons or quantities. Reissue the reconciliation and pickup instructions so the carrier and receiver have the same version.

What evidence should the driver receive at factory pickup?

Provide the approved pickup reference, supplier and loading contact, carton or pallet count, carrier details, loading instructions and any required export or delivery documents. Keep commercial and personal data limited to what the carrier needs, and retain signed handoff evidence separately from customs records.
