Before approving a bulk order from China for Amazon FBA, ask whether the supplier can repeatedly make the specified product and pack it for the planned journey. Base the purchase on an approved specification, production evidence and an agreed inspection plan. Then connect the accepted goods to the cartons collected for shipment. A good sample alone leaves the production and packaging decisions unresolved.

Choose a supplier against a written product standard

Turn “good quality” into observable requirements before comparing quotations. For a storage organizer, specify material, dimensions, load performance, edge finish, color, accessory count and retail packaging. State the test method and acceptable result wherever practical. Photographs describe appearance; strength and composition need suitable checks.

Ask each supplier to quote the same specification revision and identify proposed substitutions. Compare tooling, packaging, production checks and responsibility for correcting failures. Consider a pilot order when the supplier has not demonstrated the required process. A cheaper quotation is difficult to evaluate when its material or packing assumptions differ.

Keep an approved reference sample with a dated specification, and identify which governs if they disagree. Assign a buyer contact to approve changes before production. The inspector then has a usable comparison, and the supplier knows who can accept a departure from the order.

Use inspection to make a lot decision

ASQ defines sampling as selecting elements from a target population or product lot. ASQ’s sampling guidance explains why examining every product can be impractical or too costly. Define the production lot and arrange random selection rather than letting the supplier present convenient cartons.

NIST explains that acceptance sampling primarily decides whether a lot is likely to be acceptable, rather than estimating its quality. NIST’s acceptance-sampling guidance makes this distinction explicit. A passing report supports the agreed acceptance decision; it does not establish that every unit is defect-free.

NIST describes a single sampling plan as a randomly selected sample of size n, with the lot rejected if the sample contains more than c defective items. Its explanation of sampling plans also distinguishes double and multiple sampling. Agree the plan, defect definitions, tests and acceptance criteria with the inspection provider beforehand. If a result is inconclusive, any further sampling should follow that plan rather than become an improvised search for a passing result. Separate cosmetic issues from use or safety failures, and discuss destructive tests before selecting the scope.

Treat packaging as part of product quality

A unit can pass functional checks and still arrive damaged. Inspect the packed configuration: movement inside the retail box, contact between hard surfaces, exposed corners and outer-carton strength. Specify packaging materials alongside the product so substitutions require approval.

UPS recommends a rigid box with attached flaps and appropriate cushioning for its shipments. UPS packaging guidance also advises removing or concealing old labels. Have the logistics provider assess the proposed configuration for the actual route and handling conditions.

Measure the finished carton before approving a packaging change. In a hypothetical comparison, a 40 × 30 × 25 cm carton occupies 30,000 cm³; a 45 × 35 × 30 cm carton occupies 47,250 cm³. The increase is 17,250 ÷ 30,000 × 100 = 57.5%. This measures volume, not a freight-price increase. Request a revised quote using finished dimensions, weight and service.

Resolve conflicting carrier advice before dispatch

FedEx advises choosing a shipment box large enough for the item and 2 to 3 inches of cushioning on all six sides. FedEx’s packing guidance provides this carrier-specific starting point for evaluating a proposed parcel pack.

Tape selection shows why the carrier matters. UPS tells shippers not to use water-activated paper tape. Its packaging page states that restriction. FedEx lists water-activated paper tape among its permitted sealing options. FedEx’s sealing instructions give different advice.

If the factory uses that tape, establish which carrier and service will handle the parcel before accepting the method. These pages do not establish universal ocean-cargo or Amazon receiving rules. Destination product compliance and current Amazon requirements need separate verification for the actual item and shipment.

Connect factory acceptance to the freight handoff

The inspection report and outbound packing list should describe the same goods. Connect the purchase order, specification revision, inspection result, SKU quantities, carton identifiers and approved shipment files in one release file. Otherwise, a correct report can accompany cartons repacked or substituted after inspection.

Use this allocation as a proposed workflow, then put actual responsibilities in the service agreement.

Decision Evidence to compare Proposed responsibility
Accept the production lot Specification, inspection findings and corrective work Buyer’s designated quality approver
Accept the packed configuration Packing specification, photographs, dimensions and weight Buyer with packing and logistics providers
Reconcile outbound cargo SKU quantities, carton count and seller-approved label files Origin handling provider within its agreed scope
Authorize dispatch Closed exceptions and written release instruction Party assigned release authority in the contract or booking

A document check does not itself confer authority to stop or release cargo. Escalate discrepancies to the assigned authority. Forest Leopard’s origin release service describes carton reconciliation, agreed inspections, corrections and release evidence: useful points to define before freight collection.

Keep corrections visible through receiving

Hypothetical workflow: an organizer passes functional inspection, but the origin warehouse finds that packed accessories can strike its finished surface. The buyer requests revised inserts and a packaging recheck. Identify the affected cartons and reconcile them against the outbound list before seeking dispatch authorization.

If revised inserts change carton dimensions or weight, update the transport quote and shipment data. Preserve correction photographs and the final packing list for any later damage investigation. A packaging correction does not establish that unrelated product characteristics were retested.

Carry that file into the Amazon FBA receiving handoff. Keep delivery evidence separate from the inventory receiving outcome, and assign someone to investigate discrepancies. For a shipment-specific service quote, send the specification, inspection scope, final carton data and unresolved exceptions together so the provider can define the remaining work.
