Direct answer: A US 3PL receiving appointment should be requested only after the responsible importer or broker confirms the shipment’s release or authorized movement, the 3PL confirms it can accept the cargo profile, the carton and pallet data match the physical load, and the carrier has a written pickup and delivery scope. A warehouse address or port arrival is not proof that the load is released, available, appointment-ready or countable.
This guide is for sellers, importers, brokers, carriers and 3PL receiving teams coordinating imported inventory that may later move into an Amazon FBA workflow. It organizes evidence and ownership; it does not decide customs release, tariff treatment, product admissibility, carrier liability, warehouse capacity or Amazon account permissions. Key facts for a US 3PL receiving appointment
| Milestone | Evidence to retain | Do not assume |
|---|---|---|
| Import status | Named importer, broker instruction, entry or authorized-movement reference | Port arrival or an invoice means cargo is released |
| Physical availability | Terminal, CFS or transload location, ready time and pickup instruction | Released cargo is already available for a truck |
| 3PL acceptance | Current routing guide, capacity confirmation, dock rules and inbound reference | A warehouse address accepts every load profile |
| Carrier scope | Pickup, delivery, equipment, weight, pallet and appointment details | A rate quote is a dispatch instruction |
| Receiving closeout | Delivery proof, count, condition, scan or discrepancy result | Proof of delivery equals accepted inventory |
CBP’s Basic Importing and Exporting guide and tips for new importers explain why the importer must provide accurate information and work with the appropriate customs parties. Amazon’s current FBA shipment and routing requirements and shipment requirements govern account-side shipment data. None of these pages replaces a shipment-specific 3PL acceptance or appointment confirmation.
1. Define the receiving outcome before requesting a slot
Write the desired event as a receiving outcome, not just a destination. Record the legal receiving entity, street address, dock hours, appointment method, inbound reference, expected receiving date range, units that matter first, unload method and exception contact. State whether the 3PL will receive floor-loaded cartons, pallets, a sealed container, a transload rebuild or a mixed load.
Work backward from the required inventory date: import status, physical availability, pickup, transfer or transload, 3PL appointment, delivery, count and discrepancy closure. Put a local time zone and owner beside every milestone. Label estimates separately from confirmations issued by a broker, terminal, carrier, 3PL or platform account.
The Amazon FBA receiving path supplies the commercial context, while the door-to-door scope page helps frame the handoff. The checklist must still contain the actual shipment references and the 3PL’s current instructions.
2. Prove import status and physical availability
Identify who is the importer of record, who filed or controls the entry, which broker can answer questions, and what reference authorizes the next physical move. Keep an entry, release, bonded or other authorized-movement status visible rather than shortening every state to released. CBP guidance is useful for role separation, but the broker or other responsible party must confirm the actual shipment status.
Then obtain a physical availability message from the terminal, CFS, carrier or transload operator. Capture the cargo location, container or freight identifier, ready time, pickup number, equipment requirement, last free day and contact authorized to amend the instruction. If the load still needs devanning, sorting, palletization or label work, confirm the upstream appointment and completion time before asking the 3PL for a receiving slot.
When a status is unclear, set the load to hold. A terminal arrival notice, customs email, warehouse address or carrier estimate is not enough evidence to dispatch imported goods.
3. Match the 3PL inbound record to the physical load
Send one controlled inbound brief to the 3PL. Include purchase order, SKU and unit totals, carton and pallet count, gross weight, dimensions, labels, product handling restrictions, country of origin where the 3PL requires it, shipment references and the expected receiving date. Explain which numbers come from the platform, the purchase order, the broker, the carrier and the physical count.
Use a versioned record with a last-change time and approver. The ASN and receiving handoff guide helps organize fields exchanged with a warehouse. The purchase-order and carton reconciliation guide helps preserve an original-to-current map when a carton is relabeled, rebuilt or split.
Stop the appointment request when the physical count, destination, labels or handling profile differs materially from the current record. Ask the account owner and receiver for the correction path. Do not edit the description simply to fit a slot or send a carrier with an old count.
4. Confirm dock acceptance and appointment scope
Ask the 3PL to confirm that its dock, labor, equipment and storage plan fit the load. Confirm floor-loaded versus palletized handling, maximum pallet height, weight or axle limits, unloading labor, stretch wrap or pallet exchange rules, seal or damage photos, driver check-in, late and early arrival rules, and what happens to rejected or unidentified cartons.
Separate an appointment request from a confirmation. Retain the confirmation number, local date and time, delivery address, inbound reference, carrier, vehicle or trailer assumptions, cancellation cutoff and after-hours contact. If the 3PL changes its hours, routing guide or destination, freeze the affected load and obtain a new confirmation.
The FBA appointment planning guide covers the later platform-facing milestone. This page focuses on the 3PL’s own acceptance gate, which must be satisfied before a final-mile plan is treated as ready.
5. Give the carrier a written dispatch brief
Provide the carrier with pickup and delivery points, cargo-ready time, legal receiving entity, appointment number, inbound reference, carton and pallet facts, gross weight, dimensions, equipment type, unload method, handling restrictions, free-time assumptions and exception contacts. State which party can approve a destination, count, vehicle or appointment change.
Use the current Fulfillment Inbound API reference only for platform-controlled data and workflow context. Platform data does not authorize a truck or prove that a 3PL will accept a load. Likewise, a carrier’s booking does not prove customs release or warehouse acceptance.
Before dispatch, compare the broker or importer instruction, physical availability confirmation, 3PL appointment, carrier brief and carton record. A mismatch is an exception, not a reason to guess.
6. Run the pre-dispatch checklist
- Importer, broker, carrier and 3PL roles are named, with reachable contacts.
- Entry, release or authorized-movement evidence is current for the actual load.
- Terminal, CFS or transload location and pickup readiness are confirmed.
- Destination, inbound reference, purchase order, cartons, pallets and units reconcile.
- Labels, pallet build, weight, dimensions and handling restrictions match the physical cargo.
- The 3PL has confirmed capacity, dock rules, labor and appointment method.
- Appointment number, local time, address, vehicle scope and cancellation rules are recorded.
- Carrier equipment, pickup window, free-time and waiting assumptions are written.
- Storage, rejection, redelivery, shortage, damage and unidentified-carton owners are assigned.
- The receiving result, discrepancy evidence and next inventory handoff have a named owner.
The inbound readiness checker can expose missing facts, but it cannot approve customs, create an appointment or guarantee receiving. A checklist is complete when evidence is attached, not when a box is clicked.
7. Control exceptions from appointment to closeout
| State | Use when | Minimum evidence |
|---|---|---|
| Ready | Import status, cargo availability, 3PL acceptance, carrier scope and appointment agree. | Release or movement reference, pickup, appointment and matched count. |
| Conditional | A bounded variance can be isolated without hiding its impact. | Variance, affected units, owner, deadline and cost exposure. |
| Hold | Release, identity, destination, equipment or acceptance is unknown. | Reason, control point, escalation and next decision time. |
| Closed | Delivery and receiving evidence reconcile to the dispatched load. | Proof of delivery, count, condition and discrepancy result. |
Reopen the plan when the importer, status, cargo location, destination, carrier, vehicle, carton count, pallet build, labels, handling requirement, appointment window or required inventory date changes. The appointment rejection recovery playbook can help classify a missed slot, invalid reference, changed destination or quantity discrepancy, but it does not transfer liability.
At delivery, record check-in time, driver and trailer, seal or damage photos, received cartons and pallets, shortages, overages, unidentified cartons and the 3PL’s receiving-system acknowledgement. Keep proof of delivery separate from the accepted quantity and any later FBA check-in.
Limitations and shipment-specific review
This checklist cannot determine tariff classification, customs value, duty, product admissibility, importer eligibility, Amazon account permissions, appointment availability, carrier liability, 3PL storage terms or when inventory becomes sellable. CBP, the importer, broker, carrier, 3PL and Amazon control different facts. Reconfirm the shipment-specific conclusion with the responsible party before loading or dispatch.
For a scoped review, use the US import-readiness workbook and submit the release status, cargo location, destination, platform references, carton profile, carrier plan, appointment state and open exceptions through the North America inbound plan form. Do not send passwords or unnecessary personal data.
Frequently asked questions
Can a 3PL schedule a receiving appointment before customs release?
Do not treat a requested slot as permission to move cargo. The importer, broker and carrier must confirm the legal status and authorized next move. A planning window is not a dispatch instruction.
What information does a US 3PL need before accepting imported FBA inventory?
Provide the receiving entity, address, appointment contact, inbound reference, purchase order, SKU and unit totals, carton and pallet count, weights, dimensions, labels, unload method, required date, carrier scope and exception contact.
Is a carrier proof of delivery the same as a 3PL receiving record?
No. Proof of delivery records the carrier handoff. The 3PL must still count, inspect, scan or acknowledge the load and record shortages, overages, damage or unidentified cartons.
What should happen when carton counts differ before the appointment?
Place the load on hold, compare the physical count with current shipment and purchase-order records, and obtain an approved correction. Do not dispatch on an old count.
Who owns storage or redelivery after a missed appointment?
The booking scope, provider terms and event record control the commercial answer. Record the assumptions and approval authority before dispatch, then document the event.
When must the receiving checklist be reopened?
Reopen it for any material change to importer, status, location, destination, carrier, vehicle, carton or pallet build, labels, handling requirement, appointment window or required inventory date.
